Privacy policy

This policy sets out the basis on which any personal data we collect from you on this website directory.soif.tools (“the Site”) will be processed by us.

It does not cover information that may be collected through our other websites (soif.org.uk and nextgenforesight.org). Information relating to these websites can be found on the respective websites.

When we say "we" or "us" we're refering to the School of International Futures—a non-profit collective of practitioners in strategy and policy for future generations— based in the UK and operating internationally. We act as a the data controller for the purpsoes of this policy.

When we say “you,” we’re referring to the person or entity that’s accessing this website or included in the directory. In the course of accessing this website, or where you are listed in the directory, we may collect Personal Information, which means information about you.

For the purpose of this policy we are referring to the UK GDPR and Data Protection Act 2018 (the Act).

Information we may collect

  • Information you provide to us when you access this website, send us an email, call our team, or update your directory entry on the website. That information may include your name, email, address, phone number and other details like gender, occupation, nationality, social media and demographic information. We will use the information to provide ensure that you are able to access this website, to maintain the directory, or to respond to any questions or queries that you might have, relating to this directory. You may choose to request additional services from SOIF such as marketing, networking, consultancy, training, research and advisory services. Additional services would be subject to the privacy policy on soif.org.uk.
  • Directory information that you provide on our website that is not already in the public domain. We will maintain records of the information you share and changes that are made. Records of requested changes will be kept for up to 6 months. Directory information will remain accessible until requested to be removed or where we find that information is innacurate. We will also maintain records of search and usage data, however, this will not be associated with your account.
  • Survey information that you provide on our website or accessed through an external survey provider. We may use use Surveymonkey or Typeform to capture feedback and perspectives about how to improve the directory and/or on individual records. You can read their privacy policies at https://www.surveymonkey.com/mp/legal/privacy-policy/ and http://www.typeform.com/privacy-policy/. Surveys may be used for research or development purposes. All surveys are optional.
  • Cookies. Cookies are small text files that are placed on your computer by websites that you visit. They are widely used in order to make websites work, or work more efficiently, as well as to provide information. We are trying to minimise the use of cookies on this website. The only cookies we use are for essential purposes, to enable functionality within the directory. We are not using any analytics or other tracking cookies on this website.
  • Use and disclosure of your personal information

    We may use and disclose your Personal Information for the following purposes:

    • To deliver services that you have requested. Where necessary we mare share this information with a third party or with you if necessary.
    • To send you informational and marketing content that you choose (or “opt in”) to receive. If you opt in to receive marketing content then you can stop receiving emails by following the unsubscribe instructions included in every email.
    • To meet legal requirementsand to ensure our and your safety.

    We won’t share your information with any other organisations for marketing, market research or commercial purposes, and we don’t pass on your details to other websites.

    When you give us information about another individual this is either publicly available information, or when for business purposes, you do so on the basis that the other individual has agreed and has consented to the processing of his or her personal data and to the transfer of his or her information abroad and to your receiving on his or her behalf any data protection notices.

    If we need to transfer your personal information to countries which do not provide the same level of data protection as the UK we will put a contract in place to ensure that your information is adequately protected.

    By submitting your personal data, you agree to this transfer, storing or processing. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.

    All information you provide to us is stored on our secure servers. Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

    Under GDPR and the UK GDPR and Data Protection Act 2018 you can access the personal information we hold on you. Any access request should be addressed to Data Protection Officer.
